Our Commitment to Your Privacy

Last Updated: 10 November 2025

At Modal Vector, our most important value is to Earn Trust Always. Your privacy is the non-negotiable foundation of this trust.

We are committed to a "patient-owned, patient-controlled" model. We believe you should own your data and have absolute control over how it is used. Our user is the customer, not the product.

This policy is written in plain English to meet our value of Delivering Clarity. It explains what information we collect, why we use it, and how we keep it safe.

As a business based in Western Australia, we are bound by the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth). We treat your "Personal Information," and especially your "Sensitive Information" (like health data), with the highest standard of care.

1. What Information We Collect

We only collect information that is necessary to provide and improve our services or to co-design them with you.

  • Personal Information: This is information that identifies you, such as your name, email address, or phone number, which you might provide when you contact us or sign up for a service.
  • Sensitive & Health Information: This is information you may choose to provide to us to use our services, such as health summaries, medical records, or NDIS plans. We treat this information with the highest level of security and do not collect it without your explicit, opt-in consent.
  • Anonymised Data: We may collect non-identifiable, aggregated data about how you use our website or services (like which pages are visited). This helps us improve our systems but cannot be used to identify you.

2. How and Why We Collect Information

We collect information in two main ways:

  1. Directly from You: When you fill out a contact form, send us an email, participate in a co-design workshop, or (in the future) upload information to our secure services.
  2. Automatically: When you visit our website, we may use cookies or similar technologies to collect anonymised data about your session to help us improve website performance.

We use this information for the specific purpose (and only the purpose) for which it was given:

  • To provide, operate, and maintain our services.
  • To respond to your enquiries, comments, or questions.
  • To send you communications: If you subscribe to our newsletter, blog, or download a white paper, we will use your email address to send you those materials and other relevant updates. You can unsubscribe at any time.
  • To work with you in our co-design and research activities.
  • To improve our systems using strictly de-identified or anonymised data.
  • To comply with our legal and regulatory obligations.

3. How We Use and Disclose Your Information

Our Promise: You are in control. We will not use or share your Personal or Health Information for any purpose (such as marketing or selling it) without your direct, explicit consent.

The only exceptions are:

  • To Provide the Service: We may share information with our trusted, internal team or essential service providers (like our secure cloud storage provider) only for the purpose of operating and maintaining the service. All our partners are bound by strict confidentiality and privacy obligations.
  • If We Are Legally Required: If we are required by law, a court order, or a subpoena to disclose information, we will comply.
  • To Prevent Serious Harm: We may disclose information if we believe it is necessary to prevent a serious and imminent threat to someone's life, health, or safety.

4. Data Security and Storage

We are Ethical & Secure by Design. Protecting your data is central to our identity.

  • Health Data Sovereignty: We treat your Sensitive & Health Information with the highest level of care. All sensitive health data you provide to us for our future services will be stored in secure, encrypted cloud facilities located within Australia. This is a non-negotiable part of our commitment to you.
  • Website and Communications Data: This informational website and our newsletter services are operated using reputable, global third-party providers (such as Webflow and email services). Any "Personal Information" you provide for these specific functions (like your email address for the newsletter) may be stored on servers outside of Australia. We only partner with major providers who are bound by strict privacy and security obligations.
  • Technical Safeguards: We use industry-best-practice security measures, including end-to-end encryption, multi-factor authentication, and strict access controls, to protect all data from loss, misuse, or unauthorised access.
  • Organisational Safeguards: Our team is trained in privacy and security, and access to your data is limited to only those who need it to perform their role.

5. Your Rights: Access, Correction, and Deletion

You have the right to access, correct, or permanently delete your information at any time.

Because we believe you own your data, we make this process simple. You can make a request to access, update, or delete your data by contacting our Privacy Officer at the email below. We will respond to your request promptly and will not charge you for making it.

6. Cookies and Website Analytics

Our website may use cookies to improve your experience. Cookies are small files stored on your computer that help us understand (in an anonymous way) how our website is being used. You can adjust your browser settings to refuse cookies.

7. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal obligations. If we make any significant changes, we will notify you by posting the new policy on our website.

8. How to Make a Complaint

We want to earn your trust and we take your concerns seriously. If you believe we have breached your privacy, please contact us at the email below. We will investigate your complaint and respond to you promptly.

If you are not satisfied with our response, you have the right to lodge a complaint with the Office of the Australian Information Commissioner (OAIC).
